Scalability is one of the biggest challenges in an\u00a0SEO Process<\/strong>.\u00a0Sometimes this is caused by the size or complexity of the site, business or organization we’re working with or due to the number of projects we need to manage at the same time, at the end we usually end-up looking for support by using\u00a0SEO tools<\/a>.<\/p>\n

Nonetheless, there are some <\/span>activities that consume a lot of our time that are not specifically SEO related<\/strong> -but very common among SEOs, like <\/span>social or monitoring activities<\/strong>– that <\/span>can be automated or managed with very useful (and sometimes even free) non-seo tools<\/strong> that at the end of the day will help us improving our productivity. Let’s see how:<\/span><\/p>\n

1. Automate<\/h2>\n

\"SEO<\/p>\n

Ifttt<\/a><\/strong> is a tool that allows you to\u00a0create tasks to easily automate or integrate the activity from many channels<\/a><\/strong> (Web applications and social networks) and share them with others if you want to -with recipes<\/a>-.<\/p>\n

There are recipes already created to automatically update your Twitter profile picture when you change it in Facebook<\/a>\u00a0or send you an email when a RSS feed contains a keyword or phrase<\/a>,\u00a0which can be a Topsy or Quora feed for your brand or competition brand search result, that will help you to monitor those mentions and find link prospects.<\/p>\n

You can also create your own tasks to automate simple -but somewhat time consuming- activities<\/strong>. For example, when someone you follow in twitter shares a really interesting post and you want to subscribe to that blog feed with Google Reader\u00a0you can automatically do it when you mark that tweet as favorite<\/a>:<\/p>\n

You just need to be a little bit creative and think about those online publishing and tracking activities that sometimes you don’t do because you don’t have enough time.<\/p>\n

2. Document<\/h2>\n

\"Document<\/p>\n

When I read that\u00a0trunk.ly was being acquired by Avos<\/a> my first thought was to better start looking for another service to track and search within my social activity. Sadly Trunk.ly was shut down last March, nonetheless I already had some good substitutes!<\/p>\n

With\u00a0Faveous<\/a>,\u00a0the most similar app I have found to Trunk.ly, you can add different social sources such as Twitter, Facebook, RSS feed, YouTube, Delicious, LinkedIn, etc. to your profile feed and easily browse and search through the links<\/strong> you’ve shared -in tweets and posts-, filtering by content format or network.<\/p>\n

\"Faveous\"<\/p>\n

Faveous also allows you to share content with a bookmarklet or iphone app and browse or search within the public profiles of other users or even subscribe to their profile’s RSS feed.<\/p>\n

If you want to track and search within more private content, such as Gmail, Google talk or Calendar<\/strong> you can use\u00a0CloudMagic<\/a>\u00a0or\u00a0Greplin<\/a>\u00a0that also offers the integration with Salesforce, Yammer, Basecamp, Google docs and Evernote<\/strong>. Both of them are fantastic to quickly search documents across many tools or services from your mobile phone thanks to their apps.<\/p>\n

3. Connect<\/h2>\n

\"SEO<\/p>\n

Manage your emails more efficiently and easily identify and connect with people that message you by extending Gmail functionalities with Chrome and Firefox plugins such as\u00a0Boomerang<\/a><\/strong>\u00a0(email reminder and scheduling<\/strong>),\u00a0Rapportive<\/a>\u00a0<\/strong>(senders profiles in social networks, location, recent emails and notes<\/strong>) and\u00a0Streak<\/a><\/strong>\u00a0(CRM, mail labeling, filtering, scheduling<\/strong>).<\/p>\n

For example, if you send me a message I can see your related social network presence<\/strong> thanks to Rapportive. Let’s say I’m busy when I receive it, with Boomerang I can easily set to receive the email again after some time<\/strong>:<\/p>\n

\"Gmail<\/p>\n

These features can be really useful for link prospecting<\/strong>, to effectively identifying, managing and following-up with contacts. You can also take a look at this post about Gmail productivity for link builders<\/a> by John Doherty<\/a>\u00a0with ideas and tips for this.<\/p>\n

4. Measure<\/h2>\n

\"SEO<\/p>\n

You cannot manage or improve what you don’t measure<\/strong>. As an SEO you leverage more and more social related activities, among other things, to give search engines more authority signals to your content.<\/p>\n

Do you know which are your most popular tweets? And your competitor’s most favorited or retweeted tweets?<\/strong> Or your industry’s leaders? It can help you to identify opportunities and ideas! There are literally hundreds of social media monitoring tools out there and it can be a real challenge to identify that simple, easy to use, reliable tool that \u00a0provide you the most relevant data you need to make decisions.<\/strong><\/p>\n

One of my favorite tools to analyze Twitter activities is\u00a0Favstar.fm<\/a><\/strong>. Thanks to Favstar I know that Rand Fishkin<\/a>‘s most popular tweet is not about SEO or a SEOmoz post, as we would have imagined, but a tweet about the reason behind the low crime rates in Japan. The second one though is about the indexing speed for Google+ shared content:<\/p>\n

On the other hand, my\u00a0most popular tweet<\/a> is about the Spanish version of my “8 useful SEO tools that are probably under your radar but you should try<\/a>” post. It seems that my followers are interested about SEO tools and that’s one of the reasons of why I’m at the moment writing this post \ud83d\ude42<\/p>\n

Another really useful tool to track and analyze your (or your competitor’s) twitter activity is\u00a0SocialBro<\/a>,<\/strong>\u00a0that provides you with very interesting information, such as who doesn’t follow you back, famous, active, inactive and influential followers, the location of your followers, best times to tweet,<\/strong>\u00a0etc. All this through a very comprehensive dashboard.<\/p>\n

A huge challenge when you use so many tools to track your online activity is the amount of time you spend with each one of them. A solution for this is the use of an integral online business activity dashboard<\/strong>, like the one you can easily create with\u00a0Cyfe<\/a><\/strong>.<\/p>\n

Cyfe is an\u00a0all-in-one business dashboard tool<\/strong>\u00a0where you can add widgets with the statistics of the most popular social, web analytics, sales, messaging and support web tools such as Google Analytics, Webmaster Tools, Pingdom, Twitter, Mailchimp, Facebook, SEOmoz, Gmail messages or RSS feeds<\/strong> as it can be seen in the following image:<\/p>\n

Having a single access to all or most of the Web data you’re interested on tracking in real time will save you a lot of time<\/strong>. Other similar dashboard tools you may also like to try are\u00a0Geckoboard<\/a> or Ducksboard<\/a>.<\/p>\n

5. Organize<\/h2>\n

\"SEO<\/p>\n

What can you do to never forget and easily organize those “quick” requests you receive from your colleagues<\/strong>\u00a0sometimes when you’re having a coffee and don’t have your computer nearby?<\/p>\n

I don’t mean to organize your team’s work or activities –you surely follow a plan to develop your SEO process with specific goals and KPIs<\/a>\u00a0and you use tools like RedMine<\/a> or BaseCamp<\/a>\u00a0to effectively manage it as a project-, but I mean with\u00a0your own time<\/strong>.<\/p>\n

I personally didn’t think before I would need a time management tool to help me be more effective with my daily activities but sometime ago my \u00a0moleskine and Outlook calendar were not just enough anymore. Since I really like easy to set, intuitive solutions I started with the simplest but definitely one of the best<\/strong>\u00a0-and I’m not going to tell you anything new here-: Google Calendar<\/a>, <\/strong>which was really great to organize my day-to-day activities<\/strong>\u00a0(and share them with other members of my team).<\/p>\n

The problem was the lack of ability to easily check and add new activities when I was on my mobile -or with my iPad- and for that the best app I’ve found so far is GoCal<\/a>\u00a0that will also send you alerts<\/strong> -those that you definitely will not miss-\u00a0and let you geolocalize your events<\/strong> to get to your next\u00a0appointment\u00a0on time.\u00a0With Google Calendar + GoCal<\/strong> it was so much easier for me to organize, control and prioritize my time.<\/p>\n

Another productivity challenge is to\u00a0keep focused and really getting things done,<\/strong>\u00a0especially if you’re constantly distracted by incoming messages, emails, tweets, phone calls and your colleague’s never-ending SEO questions.<\/p>\n

The answer is Pomodoro<\/a><\/strong>, a time management technique<\/strong> in which you have to select one task to do at a time and spend 25 minutes with it<\/strong> until a timer rings and you can take a short, 5 minutes break. After completing 4 iterations of \u00a0pomodoros you can take a longer 15-20 minutes break.<\/p>\n

I use Focus Booster<\/a>\u00a0as a timer app to help me track the “pomodoros”<\/strong>. You can also share this technique with your colleagues and besides helping them with their own productivity they will also easily understand when you tell them that you need to finish your “pomodoro” before replying their “urgent” question \ud83d\ude09<\/p>\n

\"Evernote<\/p>\n

Finally, a tool to help you keep\u00a0your notes an ideas organized: Evernote<\/a><\/strong>. I take a lot of notes. I need to take them to not forget things -I don’t have a photographic memory-, and I really like to write things down and even make drawings to remember them.\u00a0Before\u00a0I used my Moleskine, Laptop or Mobile and I needed to get back to my computer to write them all down and organize them.<\/p>\n

Now with Evernote I take notes, pictures and even record audio with my iPhone, iPad, Laptop or Desktop computer… and sync them all in my account <\/strong>that\u00a0I can easily access through the apps they have built for all the\u00a0devices I use or the Web if I want to. So… What are you waiting to start doing the same? You will surely save a lot of time!<\/p>\n
